Cabin Hostess Guidelines:

Cabin Hostess — Responsibilities & Reminders

Thank you for being willing to be a cabin hostess this year! Your main job is to offer experience, strength, and love to those in your cabin.

 

Primary Responsibilities

  • Offer experience, strength, and love — make sure everyone in the cabin feels welcome.

  • Communicate information and provide reminders — the registration committee will email each hostess a list of cabin mates along with a guideline handout of items to relay before and/or during the retreat.

 

Optional Responsibilities

  • Coordinate cabin supplies, drinks, and snacks — snacks/refreshments are always available in the cafeteria, but many hostesses like to have coffee, water, and snacks in the cabin, coordinated with cabin mates.

  • Decorate the cabin — feel free to decorate the outside of the cabin with simple decorations (lights, streamers, etc.). Please be mindful to remove decorations before leaving Sunday and use only non-permanent adhesives to hang them.

  • Share — hostesses often bring goody bags or small tokens (candy, plastic jewelry, stickers, etc.) for cabin mates.

  • Show the ropes to first-time attendees — hostesses should be familiar with the retreat, ideally having attended Heart to Heart at least once.

Getting to know your cabinmates before you arrive makes for a smoother, more enjoyable weekend! Reach out ahead of time to connect and cover a few important details:

  • Meet under your cabin sign in the pavilion after the Friday night speaker meeting so everyone can meet their cabin mates.

  • Lights out no later than 11:00 p.m., and lights on at 7:00 a.m.

  • Camp Olympia is a smoke-free property — smoking is permitted only in the designated smoking area.

  • If you'd like coffee/water in the cabin, coordinate who brings the supplies (no tables in cabins, only bunks).

  • Share cabin decoration plans — what to do and when to decorate.

  • Remind everyone to follow the alphabetical snack list provided with their confirmation letter and deliver those snacks to the registration room upon arrival.

  • Let them know people often bring stickers or small tokens to share — totally optional, just a fun extra.

  • Remind them of the theme so they can bring a costume for the party/costume contest (no costume required — come as you are).

  • We'd love to see t-shirts from past conferences — encourage anyone who has one to wear it to the Friday night speaker meeting.

  • Ask if anyone has special requests or needs.
